Terms of service.
1. Introduction
The following Terms and Conditions govern the professional relationship between Parnian Ajami Counseling & Coaching practice, registered in Rotterdam, The Netherlands, and its Clients. By booking or participating in Parnian Ajami Counseling & Coaching services, you agree to these terms and conditions as the Client.
For ease of use, the Counseling & Coaching services/practice are referred to as Counseling throughout the Terms and Conditions. Hence, the Counselor refers to Parnian Ajami.
2. Services
2.1 The Practice provides Counseling services both in-person and online to clients worldwide.
2.2 Counseling services are not offered as a substitute for professional mental health care or medical care and are not intended to diagnose, treat, or cure any mental health or medical conditions. Counseling services complement, but do not replace, the care of mental health and medical treatments.
2.3 Counseling is currently an unregulated industry in the Netherlands. Moreover, the Counselor is not ‘Licensed’ by any international body, even though the sessions may take place internationally.
2.4 Participation is at the client's own risk. The Client is responsible for monitoring their own psychological and physical boundaries. If physical and/or psychological issues arise, the Counselor will refer the Client to their general practitioner/treating physician or an appropriate and specialized therapist.
2.5 If the Client has a complaint about the Counseling, they should let the Counselor know so the Client and the Counselor can try to resolve it together. If they can’t find a solution, the Client can submit a formal complaint through the official procedure under the Wkkgz, as the Counselor is registered with LVSC.
3. Confidentiality and Privacy
3.1 All information shared during sessions is treated as strictly confidential.
3.2 Information will only be disclosed with explicit written consent from the Client.
3.3 Exceptions to confidentiality apply when:
• There is a serious risk of harm to the Client or others.
• There is a legal obligation to disclose information.
• There is suspicion of child abuse or vulnerable adult abuse.
4. Payment and Fees
4.1 Session fees are listed on the website and are subject to periodic review.
4.2 Fees are charged in Euros (EUR). International clients may pay in their local currency, converted at the current exchange rate.
4.3 The Client pays the Counselor an amount per session. The amount is agreed upon in advance by the Counselor and the Client and is paid within 14 days of the invoice date.
5. Cancellation Policy
5.1 A minimum 24-hour notice is required for cancellations.
5.2 Late cancellations (less than 24 hours) and no-shows will be charged for the full session.
5.3 Exceptions may be made for emergencies and unforeseen circumstances at the Practice's discretion.
6. Booking
6.1 Sessions must be booked in advance by contacting the Counselor.
6.2 New clients will be asked to complete an initial intake form and consent form prior to the first session.
6.3 The first session is reserved for reviewing the intake form.
6.4 Session duration is 60 minutes unless otherwise agreed.
6.5 Every five sessions, an evaluation takes place in which the process is assessed, and the goals are reviewed for relevance.
7. Attendance
7.1 The Client is responsible for ensuring an adequate internet connection for online sessions.
7.2 Technical issues on the Client's side do not qualify for refunds for online sessions
7.3 The Client is expected to arrive on time for their scheduled sessions.
7.4 Sessions will end at their scheduled time regardless of the Client's arrival time; the session duration will not be extended to compensate for late arrival.
7.5 No refunds or fee adjustments will be made for shortened sessions due to the Client's lateness.
8. Termination of Services
8.1 Either the Counselor or Client may terminate services with written notice through email.
8.2 The Counselor reserves the right to terminate services if:
• The Client violates these Terms and Conditions of the Counselor-Client agreement.
• The Client would be better served by another professional.
• Continuation of services would be unethical or illegal.
9. Changes to Terms and Conditions
9.1 The Counselor reserves the right to modify the Terms and Conditions with one month's notice to the Client.
